Platform capabilities

What SmartExam does

Built for real school examination days: unreliable networks, shared devices, and results that must be produced on time.

Conduct Exams Offline

Run supported examinations without an active internet connection after the required setup and licence validation. Keep teaching and assessment moving even when internet connectivity is unreliable.

Automatic Objective Marking

Automatically score supported objective questions and reduce the time spent marking scripts and calculating results manually.

Local Examination Storage

Keep examination packages, student responses, and results on your designated local computer rather than relying on continuous cloud access.

Local Network Examination

Use a designated host computer to deliver supported examinations to compatible devices connected through your local network. Internet access is not required for normal supported local examination activity.

Import from SmartSchool

Connect to the SmartSchool portal to import supported examination questions and prepare them for offline use. This import process requires internet access.

Generate and Export Results

Manage examination outcomes locally and export supported results for school records and further processing.

Licence and Activation Management

Use a valid annual licence with defined limits for computer activations, stored examinations, connected devices, and concurrent sessions according to your purchased plan.

Software Updates

Connect to the internet when checking for and downloading available software updates so your installation can receive supported improvements and fixes.

Provider Activation Pool

Authorised providers generate licence keys or configuration templates and manage allocated activation slots. Each activation consumes one slot and is not returned by deleting a client or installation.

Getting started

How SmartExam works

Six steps from choosing a licence to backing up your results.

1

Choose Your Licence

Select the annual SmartExam plan that matches your school's computer activations, connected devices, stored examination needs, and concurrent sessions.

2

Install and Activate

Install SmartExam on a compatible computer and activate it using your valid licence. Internet access is required for activation and may be required for licence reverification.

3

Prepare Your Questions

Import supported questions from the SmartSchool portal while connected to the internet, or use examination materials already available to your installation.

4

Connect Your Devices

Where supported, configure the host computer and connect compatible student devices through your local network.

5

Conduct Examinations

Run supported examinations locally without continuous internet access. Objective questions can be marked automatically according to the application's capabilities.

6

Review and Back Up

Review and export available results. Create and verify your own backups of examination packages, responses, and results before deleting files or allowing retention rules to remove eligible records.

The problem we solve

Built around the realities of examination day

These are the problems schools bring to us most often — and how SmartExam answers them.

Unreliable Internet During Examination Periods

SmartExam supports local examination delivery so supported exams can run without continuous internet access after setup and required licence validation.

High Printing Costs

Deliver supported examinations digitally to compatible devices and reduce dependence on printed question papers.

Time Consumed by Manual Objective Marking

Automatically score supported objective questions and simplify result processing.

Difficulty Conducting Exams Across Multiple Devices

Use supported local network functionality to deliver examinations from a designated host computer to connected student devices.

Dependence on Cloud Storage for Exam Day

Keep supported examination data locally so normal examination operations do not depend on continuous cloud connectivity.

Unclear Software Licensing Limits

Choose a plan with a defined validity period and specified limits for activations, stored exams, LAN devices, and concurrent sessions.

Manual Transfer of Questions from the School Portal

Import supported questions from SmartSchool while online, then prepare and conduct compatible examinations locally.

Provider Activation Slots Lost by Accident

Verify client details before activation. Each activation consumes a slot permanently, and deleting a client or installation does not restore it.

Annual licence plans

Choose the plan that fits your institution

Every plan is an annual licence with a defined validity period and clearly stated limits for activations, LAN devices, stored examinations, and concurrent sessions. Schools buy directly; providers contact us for provider pricing.

Answers

Frequently asked questions

Licensing, offline operation, storage, and support.

What is SmartExam?
SmartExam by SmartSchool is an offline first computer based testing application for schools. It helps schools prepare and conduct supported digital examinations, automatically mark objective questions, manage examination records, and use compatible devices on a local network.
Does SmartExam require internet access?
Not for normal supported local examination operations after setup and required licence validation. Internet access is required for initial licence activation, licence reverification when requested, importing questions from the SmartSchool portal, and downloading software updates. Some additional online features, if introduced, may also require connectivity.
Can we conduct examinations when there is no internet?
Yes. SmartExam is designed to run supported examinations locally without continuous internet connectivity. The computer must already be set up, the required examination materials must be available locally, and the licence must remain valid under the application's licence enforcement rules.
How does SmartExam work offline?
Think of the offline experience as transferring and using files between nearby devices with a tool such as Xender. The key idea is that devices can communicate locally without relying on the public internet. SmartExam is an examination application, not a file sharing application, and local device connections depend on its supported network setup.
Does every student's device need internet access?
Not for supported examinations delivered over a properly configured local network. Devices must meet SmartExam's compatibility requirements and be able to connect to the designated host computer. Internet access may still be needed for separate online operations.
What requires internet data?
Internet data is required for licence activation, licence reverification when requested, importing supported questions from the SmartSchool portal, and checking for or downloading software updates. Normal supported local examination delivery, response collection, and other local operations are designed to work without continuous internet access.
Does SmartSchool back up our examination data?
No. SmartExam is designed to store supported examination data locally, and SmartSchool does not provide routine cloud backup of the examination questions, student responses, or results stored on your computer through this application. Your school is responsible for creating, securing, and testing its own backups.
Can SmartSchool access the examinations we conduct?
SmartExam is designed around local examination storage. SmartSchool does not routinely access the examination questions, student responses, or results stored locally on your system. The licensing service communicates with the server for activation and licence reverification, while importing questions from the SmartSchool portal requires internet access. Any explicitly configured online integration operates according to its functionality and applicable privacy terms.
Where are our examination records stored?
Supported examination records are stored locally on the computer running SmartExam. The exact files and storage locations depend on the application version. Protect the computer, restrict unauthorised access, and keep verified backups in a separate secure location.
What does licence duration mean?
Licence duration is the validity period in days. A duration of 365 days represents approximately one year of licence validity according to the licence start date and expiry rules enforced by the system. Renew your licence before expiry to maintain continued authorised use.
What does maximum activations mean?
Maximum activations is the number of computers that may be activated under a licence. For example, a limit of one allows one computer activation. If you reach your limit, you may need to deactivate an existing installation where supported, purchase a plan with more activations, or contact support. Uninstalling the application does not necessarily release an activation automatically.
What does maximum LAN devices mean?
This is the maximum number of compatible student devices permitted to connect to the host computer for supported local network examinations, subject to the technical limits and enforcement implemented in your application. Network quality and computer performance can affect the practical experience.
What does maximum exams mean?
This is the maximum number of examination records or packages that may be stored in the application, according to its counting rules. It does not automatically mean the number of questions or students. Export and back up records before removing them. Your plan's limit should be verified against the current application implementation.
What does maximum concurrent sessions mean?
This is the maximum number of examination sessions allowed to run at the same time, if the limit is enforced by your application version. For example, a limit of two means up to two sessions may be active simultaneously. This is different from the total number of sessions conducted over the licence period.
What does data retention mean?
Data retention specifies how long eligible closed examination sessions remain in the system before they may be deleted under the configured policy. A setting of 720 hours equals 30 days. Export and verify backups before the retention period expires. Do not assume records are backed up to the cloud.
What happens when our licence expires?
The licence may stop authorising protected application operations according to the licence enforcement rules. Renew your licence to continue authorised use. Export important results and create verified backups before expiry, and contact support if you need assistance with renewal or activation.
Can we move our licence to another computer?
Licence transfer depends on your plan and the activation management process supported by the licensing service. Contact support for assistance if you need to replace a computer or transfer an activation. Uninstalling SmartExam does not necessarily release an activation automatically.
Are examination results automatically uploaded to SmartSchool?
Do not assume that results are automatically uploaded or backed up online. SmartExam is designed to store examination data locally. Use the export and integration functions available in your installed version and follow the applicable instructions for any supported transfer to SmartSchool.
Who is responsible for data security and backups?
Your institution is responsible for securing its computers, controlling access, protecting student information, and maintaining independent backups of locally stored examination materials and results. SmartSchool is responsible for the licensing and online services it operates, subject to the applicable terms. No storage method should be treated as a guarantee against data loss.
Does SmartExam guarantee that data will never be lost?
No. Hardware failure, accidental deletion, malware, theft, damage, or other incidents can cause data loss. Maintain multiple secure backups, keep at least one copy separate from the examination computer, and test that your backups can be restored.
How much does SmartExam cost?
SmartExam is offered through annual licence plans. The plans above show the limits that apply. Check the activation, LAN device, examination storage, and concurrent session limits of each plan before purchasing, and contact support for a current quotation.
How can we get help?
For licence activation, renewal, installation, or supported functionality enquiries, contact Support@smartschool.sch.ng. Include your school name, SmartExam version, a description of the issue, and any relevant error message. Do not send passwords or confidential student examination data unless specifically required through an approved secure support process.
For authorised providers & resellers

Provider Licence Terms & Conditions

SmartExam serves both direct school users and authorised providers. If you generate licence keys or configuration templates and distribute licences to schools, these terms apply to you.

Provider & reseller pricing

Become an authorised SmartExam provider

Provider pricing is quotation-based. It depends on the size of your activation pool, the number of client schools you serve, and the plan limits you intend to distribute. Tell us what you need and we will send a provider pricing schedule and agreement.

What to include

  • Your organisation name and contact details
  • Region, state or countries you cover
  • Expected number of client schools
  • Expected number of activations needed
  • Any existing SmartSchool relationship
info@smartexam.com.ng

Activation slots are consumed permanently

Each activation consumes one available slot. Deleting the activated licence, removing a client, or deactivating an installation does not return the slot to your pool. Verify your client’s details and intended installation before activating a licence key.

Data Collection and Privacy

When you use our add-on and licensing services, we may collect basic account information required to create and manage your account, school information for which you generate a licence or configuration template, and non-personal usage statistics such as the total number of examinations administered and the total number of students who participated. We collect only numerical counters and do not collect individual examination questions, answers, student names, or examination results through this usage tracking feature. We use this information for account management, licence administration, usage monitoring, software improvement, and compliance with our licensing terms.

Licence Protection and Anti-Piracy

SmartExam uses licence protection mechanisms to prevent unauthorised use, copying, distribution, or circumvention of its licensing system. If we detect repeated suspicious attempts to bypass licence verification, manipulate activation codes, or engage in software piracy, we reserve the right to suspend or revoke the affected licence, subject to our applicable terms and verification procedures. Where a licence is revoked due to confirmed unauthorised activity or a material breach of these terms, no refund will ordinarily be provided, except where required by applicable law or expressly stated in our refund policy. If you wish to continue using SmartExam following a valid licence revocation, you may be required to purchase a new licence, subject to our approval and applicable licensing conditions.

System Capacity and Performance

SmartExam is designed to support up to 500 connected PCs at a time under suitable system, hardware, and network conditions. Actual performance may vary depending on hardware specifications, network configuration, examination settings, database operations, and other factors. Connecting more than the recommended capacity may result in slower performance, increased response times, or temporary interruptions. For institutions that require more than 500 connected PCs simultaneously, we recommend deploying an additional SmartExam installation with the necessary supporting infrastructure. Please contact our support team for guidance on larger deployments and capacity planning.

Provider Licence Activation Policy

As a SmartExam provider, you are responsible for managing your licence activation pool carefully. Each activation consumes one available activation slot. Once a licence key has been activated, that activation slot cannot be restored simply by deleting the activated licence, removing a client, or deactivating the installation. Example: if you have 100 available activation slots and activate two client installations, you will have 98 remaining slots. If you later delete one of those installations, the consumed activation slot will not automatically be returned to your pool. You are therefore advised to verify your client's details and requirements before activating a licence key, and to ensure that each activation is assigned to the correct client and intended installation before proceeding.

Software Updates and Maintenance

During the active validity period of your provider licence, you and your eligible clients are entitled to access the software updates released for your licensed product and plan. Updates may include new features, performance improvements, bug fixes, security enhancements, and compatibility updates. Access to updates is subject to the applicable licence plan, product compatibility, and the availability of the relevant release. Once your licence expires, access to new updates may be restricted until the licence is renewed or extended. Installing an update does not automatically extend the validity period of your licence.

Provider Responsibilities

As an authorised SmartExam provider, you are responsible for managing your activation pool and licence keys responsibly; providing accurate information when generating licence keys or configuration templates; ensuring that clients understand the applicable licence restrictions and system requirements; preventing unauthorised redistribution, duplication, or resale of licence keys outside your permitted provider rights; advising clients to maintain appropriate backups of examination data; and contacting SmartExam support when technical issues or suspected licence compromises arise.

Direct School User Responsibilities

Direct school users are responsible for examination administration, authorised user access, student data handling, required notices and permissions, device security, and backups. Use the software only under the purchased licence, within the permitted duration and plan limits, and in compliance with applicable law. Do not redistribute or resell the software or licence keys, tamper with licence or update mechanisms, or bypass technical restrictions except where applicable law permits.

Fair Usage and Acceptance of Terms

SmartExam must be used for legitimate educational assessment and other authorised institutional purposes. Do not share licence keys outside the licensed institution, exceed plan limits through circumvention, interfere with licensing or update services, attempt unauthorised access, distribute modified or unauthorised copies, or use the software for unlawful activity. By activating, distributing, or using a SmartExam licence, you acknowledge that you have read, understood, and agreed to these licence terms. SmartExam reserves the right to update these terms when necessary; material changes will be communicated through appropriate channels where applicable.

How much does provider / reseller pricing cost?
Provider and reseller pricing is quotation-based and depends on the size of your activation pool, the number of client schools you serve, and the plan limits you intend to distribute. Contact info@smartexam.com.ng with your expected number of activations and client schools, and our team will send you a provider pricing schedule and agreement.
How do I become an authorised SmartExam provider?
Email info@smartexam.com.ng with your organisation name, contact details, the region you cover, and the number of schools you expect to serve. We will review your application and, where suitable, issue provider terms, allocate an activation pool, and set up your provider account for generating licence keys or configuration templates.
What are the SmartExam provider licence terms?
Providers must manage activation pools responsibly, provide accurate information when generating licence keys or configuration templates, ensure clients understand licence restrictions and system requirements, prevent unauthorised redistribution, duplication, or resale, advise clients to maintain backups, and contact support for technical issues or suspected licence compromises.
How does the provider activation pool work?
Each activation consumes one available activation slot. Once a licence key has been activated, that slot cannot be restored simply by deleting the activated licence, removing a client, or deactivating the installation. For example, if you have 100 slots and activate two client installations, you have 98 remaining. If you later delete one installation, the consumed slot is not automatically returned.
What happens if a provider attempts to bypass licence verification?
If SmartExam detects repeated suspicious attempts to bypass licence verification, manipulate activation codes, or engage in software piracy, we reserve the right to suspend or revoke the affected licence, subject to applicable terms and verification procedures. Where a licence is revoked due to confirmed unauthorised activity or material breach, no refund will ordinarily be provided, except where required by law or stated in the refund policy.
What data does SmartExam collect from providers?
SmartExam may collect basic account information required to create and manage your account, school information for which you generate a licence or configuration template, and non-personal usage statistics such as total examinations administered and total students who participated. We collect only numerical counters and do not collect individual questions, answers, student names, or examination results through usage tracking.
What is the system capacity for SmartExam?
SmartExam is designed to support up to 500 connected PCs at a time under suitable system, hardware, and network conditions. Actual performance may vary. Connecting more than the recommended capacity may result in slower performance, increased response times, or temporary interruptions. For more than 500 connected PCs simultaneously, we recommend deploying an additional SmartExam installation with supporting infrastructure.
Do software updates extend the provider licence?
No. During the active validity period of your provider licence, you and eligible clients can access software updates for your licensed product and plan. Once your licence expires, access to new updates may be restricted until renewal or extension. Installing an update does not automatically extend the validity period of your licence.
How are provider terms accepted?
By activating, distributing, or using a SmartExam licence, you acknowledge that you have read, understood, and agreed to the applicable licence terms. SmartExam reserves the right to update these terms when necessary. Material changes will be communicated through appropriate channels where applicable.
